AI for small business in Ireland: where to start

Four steps, in the right order, and the mistakes that waste the first six months.

Most small businesses in Ireland aren't using AI yet. That's not a problem. It means you can skip the expensive mistakes the early adopters made.

According to the CSO, only 17.2% of small Irish enterprises used AI in 2025, against 57.7% of large ones. The gap isn't about budget. Large firms have people whose job is to work out where AI fits. Small firms have an owner who is already doing three jobs.

This guide is the short version of what we'd tell you on a first call.

Step 1: Find where the time actually goes

Before choosing any tool, spend one week noting the repetitive jobs your team does. Not the big projects: the small things that happen ten times a day.

  • Answering the same questions by email or phone
  • Booking, moving and reminding people about appointments
  • Copying details from one system to another
  • Chasing documents, payments or approvals
  • Building the same report every week

Research by Asana found that knowledge workers spend 58% of their day on "work about work" like this: chasing, searching and status updates. Your number will be different, but in most small businesses it's well over a quarter of the week.

Step 2: Get everyone using one AI assistant, properly

The quickest win costs very little. Pick one AI tool (ChatGPT, Claude or Microsoft Copilot), get business accounts so your data isn't used for training, and spend half a day showing your team how to use it on their own work.

The evidence for this is strong. In an MIT study, people writing typical business documents finished 40% faster with an AI assistant, and the quality of their work went up. The Federal Reserve Bank of St. Louis found that workers using generative AI save about 5.4% of their working hours, roughly 2.2 hours a week, before any process is automated.

Not sure which tool? We compared them in ChatGPT vs Claude vs Copilot.

Step 3: Automate one process end to end

Training helps each person. Automation changes the process. Pick the single process from step 1 that happens most often and annoys people most. For most small businesses it's one of these:

  1. New enquiries: an instant reply, a booking link and the lead logged automatically.
  2. Appointment reminders: fewer no-shows and fewer phone calls.
  3. Chasing payments or documents: polite reminders on a schedule nobody has to remember.

Build it inside the tools you already use. Keep a person approving anything a customer sees for the first few weeks. Measure the hours before and after.

Step 4: Write a one-page AI policy

Since February 2025, the EU AI Act has required businesses that use AI to make sure their staff have enough AI literacy for how they use it. For a small business, a practical version is a one-page policy that says:

  • which AI tools are approved;
  • what information must never go into them (customer personal data, unless the tool is approved for it);
  • what always needs a person to check it before it goes out.

Mistakes that waste the first six months

  • Buying a tool before finding the problem. Start from the work, not the software.
  • Automating a messy process. You get a faster mess. Simplify first.
  • Letting everyone use whatever they like. Data ends up in free accounts and nobody learns from anyone else.
  • Trying to do everything at once. One process, done properly, teaches you more than five half-finished ones.
  • Expecting AI to replace a person. The realistic win is giving your people back hours, not removing them.

What does it cost?

AI assistant subscriptions for a small team are a modest monthly cost per person. A single automated process, built properly, is usually a fixed project price measured in weeks, not months. The question to ask is whether it gives back more hours than it costs. Our calculator gives a rough answer for 18 industries.
