How much time can AI automation save a small business?

What the research says, and a simple way to work out your own number.

For a typical small team, AI automation gives back somewhere between a few hours and a few days of work every week. The honest answer depends on how much admin you do now.

What the research says

  • Everyday AI use: workers using generative AI save about 5.4% of their hours, roughly 2.2 hours a week (Federal Reserve Bank of St. Louis).
  • Writing tasks: finished 40% faster, with quality up 18% (MIT).
  • Customer support: 14% more issues resolved per hour, 35% for the least experienced staff (NBER).
  • The ceiling: today's AI and automation could take on activities that fill 60–70% of employees' time (McKinsey). That's a ceiling, not a forecast.

The first figure is what you get from people using an AI assistant. Automating whole processes goes further, because the work stops landing on anyone's desk at all.

A simple way to work out your number

Hours back = team size × weekly hours × share of time on admin × share of that admin automation can take over

For example, a clinic with eight staff on 39-hour weeks, spending 30% of their time on admin, has about 94 hours of admin a week. Automation won't take all of it, because a person still checks the work. Taking each task in turn:

  • Appointment booking & reminders14h back
  • Patient intake forms9h back
  • Phone & email enquiries8h back
  • Follow-ups & review requests8h back
  • Billing & insurance admin7h back
  • Referral & report letters6h back

Violet is the admin time each task takes now; gold is the part automation takes over. A team of 8, 39-hour weeks, 30% of time on admin, using the calculator's starting assumptions for clinics & healthcare. An estimate, not a client result.

That's about 54 hours a week, or 1.4 people's worth of time, back with the same team.

Turning hours into euros

There are two ways to value the time:

  • Cost of the time: hours back × cost of an hour of staff time × 46 working weeks. At €32 an hour, 54 hours a week is roughly €79,567 a year of time freed. That's time your people get back, not wages cut.
  • Extra capacity: if there's demand, some of those hours go into paid work: more appointments, more clients, faster turnaround.

Why the real number is usually lower at first

  • Automations ramp up. Most reach full effect two to four months in, as you trust them with more.
  • Some tasks look automatable but have too many exceptions.
  • Checking AI output takes time, especially early on.

That's why we build one process at a time and measure the hours before and after.
