A property CRM should save your negotiators time on every lead. If your team still keeps the real pipeline in a spreadsheet, it isn't doing its job.
Ireland has several established property CRMs, plus the big general CRMs that agents bend to fit. Whichever you look at, these are the questions that matter.
Nine things to check in a property CRM
- Portal enquiries flow in automatically. Leads from Daft.ie, MyHome and your website should land in the CRM without anyone retyping them.
- Instant first replies. Can it send a useful reply, with viewing slots, within a minute? Speed wins leads.
- Viewing scheduling. Self-booking from your calendar, reminders, and feedback requests afterwards.
- Applicant matching. New listings matched to registered buyers or tenants and sent out automatically.
- Lettings tools. Tenancies, rent schedules, arrears reminders, maintenance requests and landlord statements, if you do lettings.
- Vendor and landlord reporting. Regular updates on viewings and feedback without someone building them by hand.
- Works on a phone. Negotiators spend the day out of the office.
- Your data, your way out. Full export of contacts, properties and history if you ever leave.
- GDPR basics. EU hosting, a processor agreement, retention settings and consent records.
The real cost of a property CRM
Look past the headline monthly price. Add up per-user fees as you grow, paid add-ons for lettings or marketing, set-up and data migration, and the hours your team spends working around anything it doesn't do. Then compare that with how many hours it saves.
Where AI fits into a property CRM
- Reading portal enquiries and drafting replies with matched viewings
- Writing first drafts of listing descriptions from your notes and photos
- Summarising viewing feedback for vendors
- Sorting tenant maintenance requests by urgency
- Monthly landlord reports, assembled automatically
Some CRMs include features like these. Where they don't, automation can usually add them on top.
Off-the-shelf or custom?
Use an established property CRM if it fits how your agency works and the team actually uses it. We can automate around it.
Consider a custom CRM if you're paying for a lot you don't use, run sales and lettings in very different ways, or need it to connect to tools the others don't support. You own it, and it does exactly what your agency needs.
